Summary of goals

A digital workplace with intranet and document management capabilities that streamlines communication and collaboration and encourages new ways of working.

SAGRE wanted a central hub for news, policies, and knowledge; to address findability; and to enable easy, efficient communication outside of email. This digital workplace would include:

  • A knowledge-centric intranet.
  • An intuitive, comprehensive search experience.
  • The ability to easily manage content, including documentation.
  • A service adoption workstream.

Challenge

The last decade has brought about massive change to business in the Middle East. The Saif Al Ghurair Real Estate Group (SAGRE) knew that to keep their competitive edge they needed to embrace a digital mindset. SAGRE’s leadership wanted to generate enthusiasm for new, collaborative ways of working and the opportunities technology presents.

Their vision for this centred around a digital workplace that would keep people connected wherever they are working from, transforming communication, collaboration, and work for everyone.

Solution

SAGRE quickly saw how Atlas would address their key requirements:

  • A knowledge hub
  • The ability to manage content, including documents
  • Increased Teams usage and reduced email traffic
  • Informative workspaces for efficient knowledge-sharing and collaboration
  • A place to publish news
  • Mobile accessibility
  • Increased use and value from existing Microsoft 365 investments.

Results

The implementation of MySAGRE resulted in a smooth implementation of a modern digital workplace and comms intranet to aid the company’s digital transformation.

  • A 250% increase in Microsoft Teams usage in 6 months of using Atlas since launch.
  • A 5-month period saw an average increase in Microsoft Teams activity of 270% compared to the same amount of time prior to using Atlas.
  • A sustained 220% increase in SharePoint page visits over the 6 months post launch.
  • Automated tracking and task management using Microsoft Teams, Planner and SharePoint lists with Power Automate, accessible from within Atlas. This centralised a complex Excel solution, and workers can now understand the progression of any project and their tasks at a glance.
  • Efficiency gains due to the ease in finding documentation, greater cross-departmental collaboration, and increased automation.
  • A more informed, informative company culture with a platform for news and information-sharing.
  • The efficiencies won have sparked growing enthusiasm for digital transformation.

The future

The efficiency gains of the RDD tracker pilot project have led to over a dozen requests from various departments in the organization to reduce the manual administrative overhead required on critical yet repetitive tasks.

Phase 2 of MySAGRE will integrate Atlas with SAGRE’s third-party Property Management System (PMS). Documentation uploaded to the PMS will be automatically tagged with the relevant metadata to ensure all PMS documentation is searchable and retrievable from within Atlas.

  • “The success we’ve had with automating what had been a very manual and email-intensive process [the RDD tracker] has inspired other business teams to see how digital tools and automation can streamline their work and encourage a digital mindset. It’s a great example of digital transformation in action.”
  • “A key to the success of the implementation has been communication. We have published videos of our CEO on MySAGRE talking about how it’s an important part of our strategy and the digital mindset we’re wanting to instill.”
  • “With Atlas we’ve been able to create a modern digital workplace where we can do everything we need to be able to do, more efficiently.”
